Privacy Policy

How we collect, process, and protect your personal data — in full compliance with the EU General Data Protection Regulation (GDPR).

1. Data Controller

Hartwell Maritime SRL ("we", "us", "our") is the data controller for personal information collected through this website and our recruitment services. Registered office: Vișeu de Sus, Maramureș, Romania.

2. What We Collect

We collect personal data in three contexts:

B2B inquiries — company name, contact person, email, phone, project details voluntarily submitted through our contact form.
Worker applications — full name, phone number, age, city/county, trade, availability, and any CV / qualifications you upload voluntarily.
Technical data — IP address, browser type, pages visited, referral source (via privacy-respecting analytics, anonymized where legally required).

3. Legal Basis

We rely on the following GDPR legal bases depending on the processing context:

Consent (Art. 6(1)(a)) — for marketing communications and non-essential cookies.
Contract performance (Art. 6(1)(b)) — for processing applications, employment contracts, and B2B service agreements.
Legal obligation (Art. 6(1)(c)) — for tax, payroll, A1 certification, and posted worker declarations.
Legitimate interest (Art. 6(1)(f)) — for website security, anti-fraud measures, and limited internal analytics.

4. Retention

B2B inquiry data is retained for 3 years from last contact unless a commercial relationship continues. Worker application data is retained for 24 months from submission (to match you with future opportunities) unless you request earlier deletion. Employment-related records are kept per applicable labour law (generally 50 years for payroll records in Romania and 5–10 years for contracts, depending on jurisdiction).

5. Your Rights

Under GDPR you have the right to: access your data, request correction, request deletion ("right to be forgotten"), restrict processing, port your data, object to processing, and withdraw consent at any time. Requests are handled within 30 days.

6. Data Sharing

We share your data only with: (a) our payroll and accounting providers for employment-related processing; (b) posting-authority portals in destination countries (SIPSI, Meldepflicht, WagwEU, Rapporto di distacco); (c) clients for the specific purpose of evaluating your application; (d) legal authorities when legally required. We do not sell personal data.

7. Cookies

We use strictly necessary cookies to operate the site, and optional analytics cookies only with your explicit consent via the cookie banner. Full list and opt-out controls are in the cookie preferences panel.
